Refunds – Heartland

Processing transactions for Heartland/Global pay happens via a service called Portico Virtual Terminal located here
https://ww2.heartlandportico.com/vt/payment/sale.

You will also need information from the Info Central service located here
https://infocentral.heartlandpaymentsystems.com/#6433304/dashboard.

You will need logins to both that are provided by IT.

When you access the Portico Virtual Terminal you will see all of the Merchant Accounts for each location listed at the top within a dropdown. There are 13 in total. 7 of them represent Ticket Vending Machines at each station, and 6 are for the Point-Of-Sale devices at each Customer Service Booth.

Navigate to the Account that the transaction was processed from within Info Central and find the transaction either through a batch based on the day or by searching for the transaction. You will need the Auth Code, Amount, Credit Card Number, and Expiration Date.

In the Portico Virtual Terminal service navigate to the same merchant account the transaction was conducted on and select the last Terminal in the dropdown list. This is the Virtual Terminal that has the RETURN/REFUND capability.

Populate the Card Number, Subtotal amount, and Expiration Date of the card and then press the Process button.

If successful you will see a message stating the transaction was sucessfully refund.
